Exhibitor area

What is my exhibitor area used for?

Your exhibitor area is used to prepare and manage your entire fair : fill in your company details and your products so that they are visible to visitors, create your badges, send your invitations, schedule and manage your business appointments, submit your press releases, access to all services offered by Millésime BIO (sample delivery, cooler rental, meal order, ...), etc. 
Each exhibitor and collaborator can access the company’s exhibitor area.

To register your new collaborators, go to your Myvitibio account, click on your company (on the left of your screen), then on “Collaborators” (on the right corner of your screen) and then on “Add a collaborator”.
After an informatic synchronisation, your collaborator will be directly added to your company’s exhibitor area. This process is necessary to allow you to create your collaborator’s badge and to assign business meetings to him/her.
Be careful, by adding a collaborator, he/she will have full access to your Myvitibio account and to your company’s exhibitor area.

Company, products and appellations

Why should I fill in my company and product details?

Filling in your company and your products details is required to ensure the efficiency of your fair. The information you provide about your company, products and appellations will be seen by visitors on the Millésime BIO website and app.

Through your exhibitor area, click on “Complete your company profile” in the “Fill in your company details” section.

Through your exhibitor area, click on “Add your products”, then fill in the form for each of your products (1 form = 1 product). Then, click on “Send".

To delete a product, click on "Add your products" through your exhibitor area, then click on the product to delete. Go to the end of the form and tick "Yes, I want to delete this product", then click on "Send". 
⚠️ This action is permanent, if you delete a product, it will not be visible on the Millésime BIO website and app anymore.

Make sure it is not listed by typing the first letters of your appellation, while respecting accents and apostrophes.
If you don’t find it, please contact the Millésime BIO teams through your MyVitibio chat.

Visitors won’t be able to see your information on the Millésime BIO website and app.

Samples delivery

How can I have my samples delivered to the fair?

If you don’t carry your bottles in person, the samples delivery service is available through your exhibitor area by clicking on “Add the option” at the “Sample delivery option” section. This option is charged.

Our partner Alter Ego is the one and only transporter authorised to deliver your samples at the Exhibition Centre.

If you choose the sample delivery service, you will be allowed to collect your products directly from Alter Ego in the conference room (Entry B – South) on Sunday 25/01 from 4pm to 7pm or on Monday 26/01 from 7:30am to 10am.

Communication and Press

How can I publish a press release?

Through your exhibitor area, click on "Add a press release" > "+Add", fill in the form then click on "Send".
After a validation by the Millésime BIO teams, your press release will be published on the page "Exhibitors' news" and seen by journalists and visitors.

Through your exhibitor area, go to  the "Communication kit" section to download your Millésime BIO 2026 branded content (web & mobile banner, email signature, social media contents).
These imageries will allow you to let your clients and prospects know they can find you at Millésime BIO!

Badges

How can I create my exhibitor badges and when will they be available?

Fill in a form for each of your collaborators who will be at the fair, through your exhibitor area by clicking on “Create your badges” in the “Create my exhibitor badges” section (Each exhibitor can create a maximum of 10 badges).
Each collaborator must have his/her own named badge, created with his/her professional email address.
This way, you will be able to assign business meetings to your collaborators. Each collaborator will receive a reminder by text message before his/her meeting.

Your badge is available on your exhibitor area home page, in the “Stand number and exhibitor badge” section. 
Please print your badge in advance to avoid entry and setup delay at the fair.   

From your exhibitor area, update your information in the “Stand number and exhibitor badge” section, or contact the Millésime BIO team through your MyVitibio chat.

No, badges are named. You must create a badge for each of your collaborators with his own professional email address. 

No, exhibitor badges are exclusively reserved for exhibitors and collaborators. Suppliers and service providers are not allowed to enter the fair

To help everyone find easily their interlocutor’s activity, badges have a colour code:
Exhibitor : Yellow
Visitor : Purple and Pink
Organiser : Green
Press : Red
Guest : Orange
Partner : Sky blue
Speaker : Black
Student : Navy blue

Through the Millésime BIO app, you will be able to scan your prospects and other visitors' badges to download their contact details, add notes and comments. After the fair, you will have an Excel file with all that information, which will allow you to follow your business with your contacts scaned.

E-invitations

What is an e-invitation?

Through your exhibitor area, you can send invitations (maximum of 250 per exhibitor) to a prospect, contact or customer you would like to invite to Millésime BIO.
You will see the visitors registered with your e-invitation in your exhibitor area and in the Excel file you will receive after the fair.

To send your invitations, go to your exhibitor area at the “Preparing my fair” > “Invitation to customers and prospects” section.

If your invitation was not sent, it means that the person you invited is already registered on the visitors list.   

Yes, when the appointment platform will be open, you will be able to see the list of visitors who have accepted to be seen online.

In compliance with the data protection law, we never share visitors' and exhibitors' contact details.
To get a visitor’s contact details you will be able, with her/his permission, to scan her/his badge on the fair through the Millésime BIO app.

Business meetings

What are the business meetings?

The meetings platform allows you to schedule business meetings with visitors during the fair.

Yes, to prepare your fair as best as you can, we strongly recommend you schedule your appointments before the fair. 

Send your appointment request directly through your exhibitor area, at the “Business meeting” section.
You have 50 pending requests for meetings to send to visitors, and they have also 50 pending requests to send to exhibitors.

This process avoids saturation of exhibitors’ and visitors’ agenda and limits pressure towards visitors. We invite you to be vigilant when you send requests for meetings and not send generic and grouped requests. A qualitative request is more likely to be accepted. Do not target all visitors but define your 3 trade priorities (Examples: find a Belgian importer / find a French wholesaler / find a wine merchant from Bordeaux / etc.).

Pending requests for meetings will be automatically canceled after 15 days until 31/12/2025 and after 7 days starting 01/01/2026.
Visitors and exhibitors are frequently reminded to accept or decline pending requests for meetings.

You can cancel or modify a meeting with a visitor through your exhibitor area, in the “Manage my appointments” section.
Don’t hesitate to contact the visitor in question before canceling or modifying the appointment.

Your Millésime BIO agenda is available on your exhibitor area in the section “Your appointments". You will find all your scheduled appointments there.

Schedules and setup

When can the exhibitors setup?

Sunday 25/01: 4pm - 7pm
Monday 26/01: 7:30am - 9:30am
Tuesday 27/01 and Wednesday 28/01: 8am - 9am

Monday 26/01: 10am - 7pm
Tuesday 27/01: 9am - 7pm
Wednesday 28/01: 9am - 5pm

Exhibitors will not dismantle their stands until the end of the fair, apart from exceptional circumstances, which must be fully explained to the organiser.

Each exhibitor commits to be present on their stand until the fair closes on  28 January, 2026, at 5pm, to prevent obstruction of aisles and disruption of tastings. Early departures without justification may lead to sanctions at the next edition.

Access and transports

How do I get to the fair?

Click here (or Menu > Practical information > Access and transports) to know how to get to the Exhibition Centre of Montpellier by train, plane, car, taxi and public transport.

Free shuttles are also set up to come to the fair from the nearest tramway station, from the airport and from the TGV Montpellier Sud de France train station.

Two free and monitored (day and night) parking lots (A / B) are available at the Exhibition Centre, depending on your stand number and upon presentation of your parking badge.
Your parking badge will be available in your exhibitor area in January 2026

Stand, infrastructure and layout

Where can I find my stand number and its location?

Your stand number, its location and the digital map of the fair are available in your exhibitor area in the section “Stand number and exhibitor badge”. Click here to check them. 
Paper maps are also available on site during the fair. 

In response to strong demand from visitors, wine regions and countries will be grouped together by hall at the 2026 edition, while maintaining a mix of appellations, which is Millésime BIO’s DNA.
This new format will allow visitors to optimize their itinerary and tastings at the fair.

Areas within the halls allow exhibitors and visitors to find their way around more easily and locate stands more easily. Those 14 areas are marked with symbols on the high signage, the fair map, and the Millésime BIO app.

Yes, there is an information desk in each exhibition hall. Millésime BIO teams are at your disposal for any requirement. Each information desk will have the following items for sale (while stocks last): corkscrews, aprons, ice buckets, and 5 bottle bowls. 

Payment accepted: Credit card and cash. 

Each stand is equipped with a high signage indicating the name of the exhibitor, their region, their main appellation, their country and their biodynamic certification (Demeter or Biodyvin).


Please contact the Millésime BIO teams at the information desk in your hall so that the error can be corrected.
Writing with a marker or putting stickers on your signage is prohibited. Fees could be applied in case of equipment or furniture being damaged.

Each exhibitor has at his disposal the following equipment and services: an individual or shared counter, two chairs, a tasting kit (1spittoon, 1 sommelier knife and 3 Drop Stop), Spiegelau tasting glasses, glass washing service with restocking, stand cleaning service, a water carafe, a mineral water dispenser and self-service ice. 

Counter dimensions: 
- Height: 125 cm 
- Lenght: 190 cm 
- Depth: 72 cm 

Yes, but stand customization must be strictly limited to the counter decoration, without exceeding 180 cm in height. Posters, signs, advertising banners, and other displays are prohibited in front of, behind, and around the stand. It is also prohibited to put stickers or other permanent decoration directly on the counter or the high signage. 
Fees could be applied in case of equipment or furniture being damaged.

Wine bottles storage is strictly limited to your stand to prevent obstruction of aisles and emergency exits. You may store your products either behind your counter or in your vehicle.

Yes, halls are monitored day and night. For safety reasons, we invite exhibitors to keep an eye on their products and valuables. We recommend you to not leave valuables on your counter during the night. SudVinBio accepts no responsibility for theft from stands.

No, a team is responsible for cleaning the counters every evening, provided you remove rubbish and personal stuff from the counter and there are no bottles left on it.
Every evening, exhibitors must store their bottles behind the counter and their empty bottles to be discarded in front of the counter.

No, stands are not equipped with power outlets. 
However, 4 external battery terminals are available to charge your electronic devices for free (cell phones and tablets). To charge laptops, you can contact the Millésime BIO team at the information desk in your hall.

Each exhibitor has at h/his disposal a mineral water dispenser (with possible restocking) as well as an offered water carafe for the service. Sinks and freezers with ice refills are also available in your hall.

Internet connection

How do I connect to WI-FI?

You will find the WI-FI password at your hall's information desk.

The Millésime BIO mobile app allows you to access your exhibitor area in just a few clicks, but above all to collect the contact details of visitors, customers, or prospects by scanning their badges using the “Scan Badge” feature. You can also view all the information about the fair and your participation on the app.

Catering

What are the catering options and location at the fair?

Click here (or Menu > Practical information > Catering) to discover the various catering options available at the fair.

Lunch boxes can be delivered directly to your stand (between 10:30am and 1pm) by our new provider Boc d’Oc, who offers hot meals and sandwiches options. Please book your meals through your exhibitor area("Your meals" section) before the fair.
Lunch boxes reservation will be available during December 2025.

Accomodation

Where to stay during the fair?

Click here (or Menu > Practical information / Accommodation) to discover and book an accommodation located less than 30 minutes from the Exhibition Centre. 

Enoteca

Pre-registrations at the Enoteca will be available on your exhibitor area at the end of the year !

What is the Enoteca?

The Enoteca is a tasting area (Hall B4), where each exhibitor can present one of her/his products for free to the visitors.

To present your product at the Enoteca, you must register it online before the fair to allow us to plan the area’s layout and the fair installation. To resgister your product, go to your exhibitor area at the “Enoteca registration” section.
Not registered products will not be prioritized, and we will not be able to guarantee their presentation at the Enoteca.

To ensure that your product will be available for tasting during the three days of the fair, please provide the necessary quantity of samples :
  • Wine : 6 bottles
  • Beer / Cider : 6L (only in bottles, it is not possible to use barrels at the Enoteca)
  • Spirit / Liquor : 1 bottle
Please verify the correlation between the product you registered and the one you brought. Any modifications will make your waiting time at the Enoteca longer, when you will bring your samples. 

To ensure the Enoteca opens to visitors as soon as possible on Monday 26/01, please drop off your samples in Hall B4 on Sunday 25/01 from 4pm to 7pm or on Monday 26/01 from 7:30am to 9am.

Challenge Millésime BIO bar

What is the Challenge Millésime BIO bar?

The Challenge Millésime BIO bar (Hall B4) is a tasting area where you can find the wines and beers that won medals during the Challenge Millésime BIO 2026 contest.

If you want to present your products which won a medal during the Challenge Millésime BIO 2026 contest at the dedicated bar, please drop off the corresponding samples in Hall B4 on Sunday 25/01 from 4pm to 7pm or on Monday 26/01 from 7:30am to 9:30am.

To ensure that your product is available for tasting during the three days of the fair, please provide the necessary quantity of samples.
For a wine :
- Gold medal : 12 bottles
- Silver or Bronze : 6 bottles

For a beer (< 0.5L ) :
- Gold : 24 bottles
- Silver or Bronze : 12 bottles

For Beer (>0.5L) :
- Gold : 12 bottles
- Silver or Bronze : 6 bottles

The diploma of each medal-winning wine or beer will be placed on your stand by the Challenge Millésime BIO team.

What is the masterclasses' program?

Each year, Millésime BIO organises masterclasses about organic wines, beers, ciders and spirits.

Press

Is the press at the fair?

Yes, around 200 journalists from the French and international press are expected to attend Millésime BIO. Special partnerships have also been established with certain French and international specialist media to ensure good press coverage of the fair and its exhibitors.

You can submit your press releases online through your exhibitor area in the “Press Release” section.
Your press release will be published online on Millésime BIO website (Tab “Exhibitors news) and made available to journalists. Some of them speak only French or English, we recommend you provide a version of your press release in each of those two languages.

For any other information regarding press during the fair, press secretaries from Clair de Lune agency (French and international press) are at your disposal in the Press area (Hall B2).
